Personal data we collect, why we collect it and how long we keep it
Customer Data
When you enter into a subscription agreement with us, we will collect the following data about you:
- Company name
- Company organisation number
- Phone number
- Email-address
- Delivery address
- Payment details
- Information about your company manager (name, mobile number, email address)
- Information about your contact person(s) (name, email)
- Information about your admin user (name, username, email address, phone number and personal identification number)
- Correspondence between you and us during the customer relationship (email content, minutes from phone calls and meetings)
This information is collected to fulfill the contract with you and is stored throughout the subscription period for us to manage the customer relationship and to provide support services. We retain some information beyond the subscription period for the following reasons:
- Accounting (we are required to keep invoices for 5 years.
- Claim outstanding debts (if there are any outstanding payments after the subscription period expires)
- Defend legal claims (if there is a dispute regarding the terms of the subscription agreement)
Supplier and Partner Data
We process personal information about partners and suppliers for service delivery and service exchange. The personal information we process are the following:
- Names
- Phone numbers
- Postal addresses
- E-mail addresses
- Invoice information
- Correspondence between you and us for the duration of the partnership (email content, minutes from phone calls and meetings)
The above information will be stored for the duration of the contract or partnership we have with you. Moreover, in order to facilitate potential future contact and cooperation, we retain records of current, previous and potential partners and suppliers for five years. Our continued storage is based on our legitimate interest. Your data will be deleted upon your request, if you do not want us to store your information after the end of our partnership.
Visitors to our website
Website analytics
We collect website analytical information on our website to obtain an overview of how many visitors we have from time to time, and what content that attracts most interest from our visitors. The information we collect are:
- The number of visitors accompanied by date and time
- What pages that our visitors visit
- What countries and cities are visitors are from
- Language preferences for our visitors
We use analytics tools provided by Google Analytics to obtain the above information. Google Analytics uses information capsules (cookies). Cookies used for website analytics are stored for up to two years. We collect website analytics data based on your consent. You may withdraw your consent at any time.
Chat-service
We offer a chat service on our website that our visitors may use to ask questions about our services. The chat service uses information capsules (cookies) to store the chat log. The chat log is stored for 30 days.
The use of information capsules is necessary for the chat service to function. Our legal basis for collecting your information when using the chat service is to provide the chat service upon your request.
Language preferences
We collect information about your language preference in order to provide the website in your preferred language. We use an information capsule (cookie) to store your language preference. The information cookie is only stored for the duration of your visit to our website.
Our legal basis for collecting language preferences is to provide the website in the correct language upon your request.
Website video content
We show video content on our website which is stored on YouTube (owned by Google). We collect information on the number and duration of videos played on our website. YouTube has access to the same statistical information. The use of YouTube is based on your consent. You may withdraw your consent at any time.

Newsletter
You may subscribe to our newsletter by visiting our website. We collect email addresses for all subscribers, in order to provide the newsletter service. We also collect statistical information on how many of our newsletters are read by our subscribers.
The newsletter subscription is based on your consent. You may withdraw your consent at any time, at which your email address will be deleted from our records. You withdraw your consent by clicking the “unsubscribe” button at the bottom of each of our newsletters or by contacting us on privacy@dignio.com.
Visitors to our social media sites
Dignio has a business page on Facebook. We collect user statistics from our Facebook-page to obtain an overview of how many visitors we have and what content our visitors are interested in. We collect the following information:
- The number of visitors with date and time
- The number of likes to our Facebook-page
- Which posts are most read, liked and shared
- Which countries and cities our visitors come from
- Gender allocation for our visitors
- The information our visitors choose to share on our Facebook page, such as pushing the “like” button, writing a comment or sharing one of our posts.
We use information capsules (cookies) from Facebook in order to collect the information mentioned above. The information capsules are stored for up to two years. We collect the information based on your consent. You may withdraw your consent at any time.

Dignio has a business page on LinkedIn. We collect user statistics from our LinedIn-page to obtain an overview of how many visitors we have and what content our visitors are interested in. We collect the following information:

Communication per email or phone
If you contact us per email or phone, we will collect the following information:
- Email: Your email address and the correspondence between you and us.
- Phone: Your phone number and a short summary of the call for our reference
Email correspondence and phone summaries will be retained for one year in case you should contact us again with a similar request. If you want earlier deletion, this can be arranged by contacting us by email at privacy@dignio.com or to your contact person at Dignio.
If you are a customer, supplier or partner, we reserve the right to keep the email and phone correspondence as long as you are an active customer, supplier or partner in order to provide the best care possible, and for one year following the end of our cooperation in case there is a need for further contact.
In addition, if you are a customer, the information may also be retained for bookkeeping purposes, to arrange returns, handle complaints and for the purposes of handling an ongoing legal claim, see the Customer Data section for more information.
You can send us a request to delete all email correspondence. We will then process your request. If we decide to keep your data, we will inform you of the reasoning behind such a decision without undue delay.
How you withdraw your consent
We process your personal data based on your consent in the following cases:

- Social media statistics (Facebook and LinkedIn)

Overview of information capsules (cookies) we use
Information capsules are small text files that are locally stored on the device you are using, either your computer, tablet or smartphone. We use cookies for the following purposes:

Non-functional cookies
- _ga. The purpose of this cookie is the storing of a unique randomized code for website analytics. The storage period is 2 years and the recipients are Dignio and Google.
- _gid. The purpose of this cookie is the storing of a unique randomized code for website analytics. The storage period is 24 hours and the recipients are Dignio and Google.
In addition, we use cookies delivered by YouTube (owned by Google) when we place video content on our website, and by Facebook and LinkedIn on our dedicated business page on Facebook and LinkedIn. Information Security
Dignio has documented technical and organisational measures to ensure that the personal data is processed in a manner which ensures their confidentiality, integrity and availability. Digino has a dedicated quality management system, implemented in line with ISO 27001 and ISO 13485.
We take appropriate measures to ensure that all personal data is kept secure, including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorized manner. We limit access to your personal data to those who have a genuine business need to know it. Those processing your information will do so only in an authorized manner and are subject to a duty of confidentiality.
We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Recipients of Personal Data
We will not disclose your personal information to third parties unless such disclosure is necessary as a result of legal obligations.
Dignio uses subcontractors (data processors) for certain administrative tasks. In cases where we share information with a data processor, the processing of personal data is secured through data processing agreements. The data processing agreements ensure that the personal data is not used for any other purpose.
In addition to our processors, we also use Facebook for our dedicated Facebook business page and YouTube (Google) to show video content on our website. Facebook and YouTube obtain access to our user statistics.
Your Rights as a Data Subject
You have the right to request:
- access to all the personal data we have stored about you,
- correction of any errors in the personal data we have stored about you, and
- deletion of your personal data
We will respond to your request as soon as possible, and in any case within 30 days. Your personal data will be deleted when the data is no longer needed for the processing purposes specified in this privacy statement.
